Cancellation policy
Where possible, a minimum of at least 48 hours is requested to cancel planned sessions. If you need to cancel, please call or text the Therapist to advise them of the cancellation.

Cancellations that occur within 2 business day (48 hours) of the scheduled session will be charged at the full rate, as per the NDIS price guide.
​
If cancellations exceed 6 hours, a meeting will occur to discuss this and future service arrangements. As an organisation, ABC Therapy reserves the right to discontinue services to participants who repeatedly miss or cancel scheduled appointments.
Travel policy and charges
The travel charges outlined below are consistent with the NDIS price guide for Western Australia and is based off the Modified Monash Model (MMM) used by the NDIS to determine travel costs in accordance to geographical locations of services received.

Provider Travel – Labour Costs (Time)
Travel time is calculated from the ABC Therapy office (East Victoria Park). The maximum amount of travel time that the therapist can claim for the time spent travelling to each participant is 30 minutes in MMM1-3 areas and 60 minutes in MMM4-5 areas each way.

The claim for provider travel time is 50% of the regular price limit for these items. Please refer to therapy specific rates for more information.

The maximum amount of travel that can be claimed for a single trip is 30 minutes and therefore if the travel exceeds this amount, you as the participant will not be charged more then this amount. The amount charged for travel will vary depending on the location where services take place e.g. home, school or community locations.

MM-1: Metropolitan areas: Major cities accounting for 70% of Australia’s population All areas categorised ASGS-RA1.​

MM-2: Regional centres: Inner (ASGS-RA 2) and Outer Regional (ASGS-RA 3) areas that are in, or within a 20km drive of a town with over 50,000 residents. For example: Bunbury.​

MM-3: Large rural towns: Inner (ASGS-RA 2) and Outer Regional (ASGS-RA 3) areas that are not MM 2 and are in, or within a 15km drive of a town between 15,000 to 50,000 residents. For example: Busselton.

Travel is calculated in minutes from the ABC Therapy office (989 Albany Highway, East Victoria Park) to the location of service.
​
Please be aware, at ABC Therapy we do our best to cluster participants to ensure total travel time and km's are divided amongst participants seen in the area.

Provider Travel – Non-Labour Costs
In addition to time travelled, when travelling to deliver Face-to-Face supports to a participant, additional non-labour costs apply. This includes:

0.99c/km for travel with km's calculated from the ABC Therapy base

Parking fees where only paid parking is available

Therapy Travel Quote
A quote will be provided to you to give you an indication for the maximum travel charges that would apply if the session occurred in requested session locations without clustering with other participants.

Occasionally therapy sessions may be requested in locations not listed below. Please refer to Therapist hourly rate for additional information relating to the cost of sessions completed in these areas or seek this information directly from your therapist prior to sessions occurring.

Invoices and Payments
Invoices will be sent to the participant or plan manager within 2 weeks of services being received. From the date of the invoice, payment is required within 14 days (2 weeks).

Invoices are paid via direct deposit to the details provided on the invoice. If any concerns about the invoice are identified, these are to be raised within 7 days of the invoice being received. Please email admin@abctherapy.com.au

If payment is not received within the given timeframe, a reminder will be issued by ABC Therapy. Following this, sessions will remain on hold and further services suspended until payment is received.
Billable Activities Overview
At ABC Therapy, we aim to provide you with the best possible service. As part of the therapy process, we may be required to complete both direct and indirect tasks that aim to support with achieving your goals.
Direct time refers to the time spent directly with the individual receiving support (e.g. you or your child), whilst indirect time refers to the time where you may not be present.​The following information relates to the different tasks that therapists regularly complete whilst working alongside the individual and their support network.
If you ever have any questions or require clarification around this, we encourage you to have a discussion with your therapy team or our admin/finance representative.​

Your services may include the following stages:
Assessment
Assessment may include an assessment of the participants strengths, interests, skills areas for development. This may be completed directly with the participant, and/or include others completing questionnaires and/or therapists doing observations at your home or other locations.
Planning
The development of intervention plans/goals inclusive of specific strategies by therapists involved. The plan will be reviewed at different points of your service in order to update goals and adapt interventions.

Intervention
Direct therapy where therapists are work with the participant, implementing strategies to achieve goals. This may include 1:1 sessions or groups.

​
Review
Review assessment completed by the therapist outlining the progress the participant has made towards achieving their goals. This is most commonly completed in the form of an NDIS progress report or individual plan.​

Your services may include the following billable activities:

Face to face, phone, telehealth and/or email contact

Therapists will visit, phone, or email you at home or another location in the community (e.g. park, school, daycare)

Equipment

Team meetings/
stakeholder meetings (internal and external)

A meeting completed by the therapy team (i.e. Physio, OT and Therapy Assistant) to review the therapy plan and discuss goals and strategies.

Documentation
and planning
​​
The team will record what happened during the service, with an agreed plan. This is usually up to 15 minutes in every 45 minutes of service.

Initial therapy plan development, therapy plan updates & intervention summaries
​
The therapy team may write a report summarising assessment or review findings or documenting your child progress (a requirement of NDIS participants)
Resource creation & program development
​
The therapy team may develop resources for you to support with goal achievement and/or develop a therapy program to be implemented by the Therapy Assistant.​

​
​
Communication with other agencies
​
Following your written consent, the team may liaise with other agencies including your Local Coordinator, childcare worker, doctor, teacher and/or specialist.

​
Travel & KMs
​
Travel is calculated from the the ABC Therapy Clinic. Travel is charged to and from the appointment and is capped at 30 minutes each way in line with the current NDIS pricing agreement. Where multiple participants are seen in the one trip, travel and km's are split amongst participants.​​​
